Using ContactManager - Outlook Integration Setup

Add secure client portals, workflow automation, and much, much more to Microsoft Outlook™ using PortalsXpress! Just select "Enable Outlook Integration" from ContactManager's menu and a client portal will be created instantly for every contact you select in Outlook.

Use the "Outlook Integration Setup" dialog to select a contact as the "Master Outlook Database Maintainer". In most businesses using Microsoft Outlook™, each person has their own contact list. In an environment like this, it's common for there to be differences between contacts. For example, one sales representative might have a contact with the name "Charles Schultz" while another might have used a first name "Chuck". When conflicts like this occur, the Outlook Maintainer's version of the contact is used by PortalsXpress.

Please Note: When Outlook Integration is enabled, use Microsoft Outlook™ to edit your contacts. If you use PortalsXpress to edit a contact's information, your changes will be replaced the next time that contact is changed in Outlook.

With Outlook Integration enabled, a "Digital File" toolbar button is shown in the main window of Microsoft Outlook™. Clicking on this button will open the PortalsXpress Digital File of the selected Outlook contact. Using the Digital File, you can add/edit/review Contact Notes, import files to the contact's Private Client Site (Client Portal), start workflow projects for the contact, and much much more. This plugin also adds a "Send Securely" button to Microsoft Outlook™. Using this button, you can send email from Outlook and it will be delivered securely. It combines the ease of sending email, with the security of a portal.

Q: What field is used to map Outlook contacts to PortalsXpress?
A: The Outlook contact's email address.

Q: What if I have multiple Outlook contacts with the same email address?
A: Microsoft Outlook discourages multiple contacts sharing the same email address. And contacts use their email address to login to their Client Portal. So if you have multiple contacts in Outlook with the same email address, they'll share the same contact in PortalsXpress, the same digital file and the same Client Portal. The most recently updated Outlook contact information will be the information used by PortalsXpress.
