Auto-Router

PortalsXpress Auto-Router is a folder in DocumentManager into which you can drop files. If the file's name starts with a Client ID, Auto-Router will automatically move the file into the corresponding client's portal. Additionally, you can setup an email message that gets automatically sent to the client to let them know that the file's available in their portal.

For example, let's say I have 10,000 clients and I generate a weekly report for each client (financial report, medical analysis data, etc.). I can drag-n-drop my 10,000 reports into the PortalsXpress Auto-Router folder and it takes care of filing each report into the corresponding client's portal AND letting them know that the report's available!

How it works:
Let's say I have a client whose name is Fred Estaire and whose client ID is XYZ-123. I create a report called "XYZ-123 Heprin Level Analysis.pdf" and drag-n-drop it into the PortalsXpress Auto-Router folder. Auto-Router recognizes the client ID XYZ-123 from the report's filename, moves the report into Fred Estaire's portal, and sends Fred an email message letting him know that his report's available for viewing and/or downloading via his portal. Now if Auto-Filer doesn't find a matching client ID for a report file, it'll notify you via email that the report couldn't be filed.

To use this project:
  1. Click on a single contact in ContactManager (typically your contact record);
  2. Click the Project toolbar button;
  3. Double-click the Administration / Setup PortalsXpress Auto-Router;
  4. Click on the DocumentManager tab;
  5. You'll notice that a new folder PortalsXpress Auto-Router was created.

That's it! You're on your way to saving a ton of time, and enjoying the relief of knowing that your reports will automatically be distributed securely, accurately, and consistently every time!
