Email Blaster - Sending Email Blasts

The first step in preparing your email blast is to enter a subject line. (NOTE: Your email “From” section will automatically be populated with your Preferred Email setting from your profile in your TSV account. You may change this email address, if you prefer; however, the next email blast you prepare will be default back to your Preferred Email setting.)

Formatting Emails
Email Blaster allows you to use several formatting tools which are located in the toolbar in the middle of the Email Blaster page; i.e., Boldface (Ctrl+B), Italicize (Ctrl +I), Underline (Ctrl +U), and several others.

Personalizing Emails
Email Blaster includes several replaceable tokens for your use in personalizing emails. These tokens include replacement fields relating to the Recipient as well as to the Sender. A common replaceable token is #FirmBanner#. This token is the URL that will display your company’s banner that is part of your private client site. It is advantageous to include replaceable tokens for Sender information since email templates can be shared among different users on the TSV account.

Managing Email Templates
Email Templates are saved in Email Blaster by Subject line titles, Date Sent, From, and To. You can easily alphabetically sort the names of your email templates by simply clicking on the arrow located to the right of the word “Subject” in the blue tool bar. You can also sort the email templates by Date by simply clicking on the arrow located to the right of the word “Date”. The From and To columns can be sorted alphabetically, as well, by clicking on the arrow located to the right of the word “From” or “To”.

All email templates must have a unique subject name. Therefore, if you need to make changes to an existing email template, you will need to either change the subject name before you save the template or you may simply click to highlight the name of the email template and then click on the red X. A dialog box will pop up for you confirm that want to actually delete it.

Sending Attachments
Email Blaster allows you send attachments to your emails as long as the document you want to attach is saved in Document Manager. (See Document Manager Help section for instructions on how to save or import digital items to Document Manager.) To send an attachment, simply click on the Attachment icon or use Ctrl + Shift+I and a window will pop up allowing you to select a document from Document Manager.

Previewing Emails
Email Blaster provides you with an option to preview your email before you actually send it. Simply select the Preview Email button located on the bottom left of the screen and Email Blaster will automatically send a preview of the email to the Sender’s preferred email. (Note: The preview email will increase the total number of emails sent this month by one.)

Selecting Email Recipients Using Your Contact List
Once you have finished creating your email, you have the option to either preview the email or make it a template before you actually send the email. Once you are ready to send the email, select the Next button located at the bottom right of the screen. Once you click on the Next button, your list of contacts that are stored in Contact Manager will pop up. As a default, Email Blaster automatically highlights all of the contacts that are in the current query. To change the query, simply click on the arrow located to the right of Query and select your option. You may type in an “*” in the Search For column and all of the contacts in that query will appear. To highlight more than one contact in the query for the email blast, use the shift key and up/down arrow in combination.
