Using DocumentManager - Managing Files

General Information

The DocumentManager is a secure online storage solution used to store and manage files in the same manner you manage files on a local or network drive. You can store anything in a folder including spreadsheets, documents, graphics files, etc. However, organizing your files so it best suits your needs is the primary key to using the DocumentManager efficiently.

The root level folder of the DocumentManager is Remote File CabiNET. From this folder you can drill down to sub-folders. See Tree Control for information on viewing the contents of folders and sub-folders.

You can move or import any file, folder or document that is stored on your computer's hard drive (or your company's network) into the Remote File CabiNET folder of DocumentManager. Once the file or document is imported into your account, it is referred to as a digital item.

Having all shared files and documents stored in one location as digital items will make access to your organization?s information much easier for both you and your co-workers. If you encounter a circumstance where you wish to insert a digital item using the DocumentManager and you do not want anyone else in your office to see the file, you can make the file private with use of a padlock. See Padlocks for more information regarding this feature.

Adding a New Folder

The root folder in DocumentManager is the Remote File CabiNET folder, from which you can add an unlimited number of folders and sub-folders. Unless there is a padlock applied to a folder, you can add a sub-folder to any folder of Remote File CabiNET.

To create a new folder, do the following:

  • Select the folder to which you want to add a sub-folder.
  • Click the New Folder toolbar button or use the right-click menu selection. The new folder will appear inside the currently selected folder.


Adding a Digital Item

To insert a file or document from your local computer or network drive to the Remote File CabiNET folder in DocumentManager, you can use the toolbar buttons, the right-click menu selections (New/Insert Digital Item), or the Drag and Drop method. For simplicity, the following discussion refers to using the toolbar buttons.
  • Highlight the folder that you wish to insert a file into.
  • Click on the Insert Digital Item toolbar button .
  • Use the "open" dialog box, to navigate to the location of the file you want to insert.
  • Click the Open button.


The file is now saved to the folder and ready for edit.

Moving a Digital Item

In DocumentManager, you can rearrange files in a manner that best suits you. You can move digital items between folders.

To move digital items between folders, see the user's guide section on the Cut, Copy, Paste and Copy as Shared features.

To remove a folder or digital item simply click the delete toolbar button or select the delete key on the keyboard.
