Action Scheduler - Action Selector Screen

An action is an event or activity that is performed in association with a project or task. An example of an action is to close the project or perhaps send an e-mail that is associated with the project.

Using the Action Selector screen you can:

  • Select the type of action to be associated with the task or project.
  • Select when the action is to be performed.

To access the Action Selector screen do the following:
  • For a task, from either the Inbox screen or the Group Inbox screen, or from the Start Projects or Projects Detail screen; select the specific task and click on the "Details" toolbar icon then click on the Action Scheduler tab and click the "New" toolbar icon. The Action Selector screen is displayed.
  • For a project, from either the Start Projects or Projects Detail screen, click on the "Details" toolbar icon then click on the Action Scheduler tab and click the "New" toolbar icon. The Action Selector screen is displayed.

To select when the action is to be performed do the following:
  • Click in the appropriate button in the "When do you want to perform this action" area of the dialog to make your selection.

An action can be scheduled to be performed using the following choices:
  • Upon Assignment.
  • After a specified interval of minutes, hours, day, weeks, or months; or at a repeating time interval (every Monday).
  • At a specified date and time.
  • At completion.
  • When the task is double-clicked on a list.
  • Upon critical error

Selecting the "when" is the starting point when scheduling any type of action.

The following general types of actions can be established:
  • Send a Delivery
  • Start a project
  • Open a file or application
  • Select a contact
  • Close the task or project
  • Transfer a task
  • Sending a delivery
    • Click to select the "Delivery" tab.
    • A delivery is an outgoing message, notification, or form. To establish a delivery as an action, schedule when the action is to be performed, determine the contact individual(s), the type of delivery, enter the text of the message (if applicable), and select any change of status options (if applicable).
  • Starting a project
    • Click to select the "Start Project" tab.
    • To start a project as an action, schedule when the action is to be performed and select the project from the Project Template tree.
    • To make the new project a sub-project click the "Create as Sub-project" field.
  • Opening a file or application
    • Click to select the "Open File/Application" tab.
    • To open a file or application as an action, schedule when the action is to be performed, select either a file or an application, identify the file or application, and add any command line parameters (if applicable).
  • Selecting a Contact
    • Click to select the "Select Contact" tab.
    • To select a contact as an action, schedule when the action is to be performed, select the contact from the Related Contacts list that is displayed.
  • Closing a task or project
    • Click to select the "Close Task" or "Close Project" tab.
    • To close the task or project as an action, schedule when the action is to be performed and click the OK button on the Action Selector dialog.
  • Transferring a Task
    • Click to select the "Transfer Task" tab.
    • To transfer a task as an action, schedule when the action is to be performed and determine the contact individual.
