Using ResourceManager - Inbox Group

The Group Inbox lists all of the tasks that have been assigned or are available. The function of the Group Inbox tab is contingent on what item is selected in the tree control on the left side of the screen.

If the department or group is highlighted on the left side of the screen, the tasks assigned to that group will be displayed in the Group Inbox tab.

If the resource is highlighted on the left side of the screen, the tasks available for that resource to complete will be displayed in the Group Inbox tab. However, these tasks have not been specifically assigned to that individual, only the group of which the individual is a member.

If you highlight a task on the right side of the screen, the Status and Details buttons are highlighted. You can click on the Status button and a box will be displayed where you can select the following items.

You can click on a task listed in the Group Inbox and the Status and Details buttons will display as active. These are buttons that appear in WorkflowManager as well. They are included here to make the manager's job easier by allowing them to access functionality found in WorkflowManager.

When you click on the Status button, you can change the status of a task to one of the following:

  • No change
  • Closed
  • Suspended
  • Reactivated


You can also transfer a task to another department, group or individual. In addition, you can enter the time spent on the task.

When you click on the Details button you will see the Task Details screen. The Task Details screen consists of three tabs and is used for adding a new task to a project or for viewing the details of an existing task.
  1. The General tab collects basic task information. The General tab also provides for task assignment to a group, an office-wide group, or individual. The assignment here determines if the task appears on a specific individual's Inbox or on the Group Inbox list. Finally, you can enter the estimated hours, change the priority, or change the due date.
  2. The Action Scheduler tab collects information on the type of action (if any) and the timing of the action that is associated with the task. Starting a new project, sending an e-mail or form, or starting a software application are just a few examples of actions for a task. In ResourceManager you can only view what actions have been entered in WorkflowManager.
  3. The Progress Notes tab allows you to enter a note and view the notes automatically created by WorkflowManager.


  4. In addition, you can highlight a task on the right pane of the screen and drag the task to another group to reassign the task.

    You can also sort a task list by "Priority." When you do, two additional sort features are available:
    • Use the drag and drop method to reposition the task in the list to raise or lower the task's priority. The task's priority is reassigned based upon the new position of the task.
    • Use the drag and drop method to re-sort tasks of the same priority level. If tasks "A", "B" and "C" are all "Normal" priority they can be sorted as "ABC, CAB, BCA, etc. by repositioning the tasks.
